Finding Better Ways to Manage our Files

Over the last ten years business has been very good. In fact, our small medical clinic has grown in leaps and bounds and we serve thousands of customers each week. Though there have been a few challenges along the way, I would have to say the worst would be the number of patient files.
Ten years ago, we had one room dedicated to storing our patient files. It wasn’t too hard to find the files that you were looking for and one room wasn’t a lot of space. It was a very efficient method at the time and served us very well.
But now, ten years later, we are bursting at the seams. The files now take up nearly twenty five percent of our building and we are pretty much out of room. Also, finding a specific file is a big headache and it is typical to spend over ten minutes to find the one that you want.
So, we have been in talks with some document management software vendors to see if there are some products that could work with our needs. Since computer storage is very affordable, I think that it would make sense to find some document scanning solutions, scan all of the client files, and free up the space that was previously occupied by all of our file cabinets.
It will be nice to get rid of the file cabinets and have room for a few more offices – it might be just what we need to justify hiring another doctor for the office which would be good for us and our patients.
